Our client, a skincare brand, is hiring a temporary Office Manager/Executive Assistant to join their team in Brooklyn on a hybrid schedule (4 days in office). This is a temporary position with the potential to become permanent based on performance and the needs of the business.
Job Duties Include:
- Act as point of contact for all office related needs
- Ensure office operations are run smoothly including the ordering of supplies, ordering meals and catering, and planning office/team building events
- Oversee office moves and the ordering of furniture as needed
- Coordinate deliveries and outgoing shipment
- Provide administrative support to the executive team, including managing calendars, scheduling meetings, booking travel, etc.
- Coordinate and prepare materials for meetings, conferences, and presentations as needed
- Support the entire on various projects and initiatives including providing research, analysis, and administrative assistance as needed
- Manage expense reports, reimbursements, and financial documentation for the executive team
- Arrange the delivery of samples from suppliers and maintain an organized system for tracking/storing samples
- Coordinate internal packaging approvals from internal team members in a timely manner
- Assist with the set-up of new employees as needed with equipment and onboarding items
- Ad hoc duties as needed and assigned
Job Qualifications Include:
- Bachelor's degree preferred, or equivalent combination of education and experience
- 2+ years of experience as an executive assistant or administrative assistant
- Skincare or beauty industry experience is preferred
- Excellent organizational and time management skills
- Strong communication and interpersonal skills
- Proficiency in Google Suite and other relevant software applications
Salary: $35/hr
